As an admin and even functional consultant I always aim to make my easier - call me lazy but I like me comforts! While Salesforce is easy to learn, there are some actions which require a multitude of clicks to complete which make configuration time extensive but also just darn frustrating and repetitive. Below is a list of the most recommended tools I would recommend to any admin or consultant:
A free AppExchange tool which is very useful for understanding field utilisation, this was the first tool I used as an admin when working on cleaning up the multiple objects in the then org. I faced a problem with understanding how to communicate to client’s which fields they would like to use, this tool saved the day by automatically running a full report about the percentage of the records (or a subset of your records) have that field populated, allowing more targeted field removal and analysis.

Another free web-based tool which analyses a Salesforce Org and presents a report based on best-practices and any trouble areas that may need addressing. Really useful for high-level health-checks and analysis of how to improve performance and general maintenance overheads for your Org. I used this during a health check project whilst working as a consultant and recommended this tool to fellow team members. Not only did it give us a detailed description of a org which we have not explored, it also provided accurate suggestions for quick improvement wins.
Salesforce Workbench is one of most essential tools packed with abundant features that come as a blessing for the admins and developers! It allows you to quickly view your organization’s data, perform SOQL Query, SOSL Search, Session settings, test, deploy, troubleshoot applications and a lot more. All you need to do is login with the username and password of the domain you wish to target.
This is not a single addon application, rather it is a bundle of features, and again it is free! The Toolkit for Salesforce, built on the Heroku platform, includes numerous time-saving Salesforce admin tools, such as:
Schema Lister - Automatically creates a Microsoft Excel file detailing your Salesforce org, including the objects and fields in it; can even offer details on which fields are used where, for which purpose. This tool provides a jumpstart to any admin tasked with making changes to a complicated, unfamiliar system.
Org Compare - Identifies metadata differences between any two Salesforce instances. Not sure if a sandbox needs a refresh? Use org compare to see whether it’s out-of-date.
Switch - Hate manually deactivating automations and validation rules every time you load data? Switch does it all for you. It acts as a master switch for your org, enabling or disabling all of your workflows, validations and triggers at once.
